How can you validate records in Salesforce?

Differentiate between Lookup and Master-detail Relationship?

  • Lookup relationships are called loosely coupled relationships because if the parent record is deleted child record remains undeleted. Max lookup relationships an object can have is 25.

How many-to-many relationships are created?

Many-to-many relationships are created by using junction objects. An object will need to be connected to two-parent objects in a master-detail relationship. This kind of relationship is basically used to link one object to multiple records from other objects and vice-versa.

Can a master-detail relationship be converted into a lookup relationship?

Yes, a master-detail relationship can be converted into a lookup relationship if the rollup summary field is removed.

Can a Lookup relationship be converted into a Master-detail relationship?

Yes, you can convert a lookup to master-detail but first, you will need to populate the value of each child records.

What is a self-relationship?

Self-relationship is a kind of lookup relationship where the relation is created on the same object. It means the parent and child objects are the same. There is a special category of self-relationship created on user object which is also called hierarchical relationship.

What are the workflow rules?

Workflows or Workflow rules can be visualized as a container of several instructions. These instructions wait for certain criteria to fulfill. Once the criteria match, the action defined in the workflow will execute. It helps to automate many internal processes and procedure which ultimately saves time and makes the application more reliable. Workflow is triggered or invoked whenever a record is created or if there is any change in the record which already exists in the database.

What are the categories of workflow actions?

Salesforce has categorized actions into:

  • Immediate Actions 
  • Time-based actions

As the name suggests, workflow performs Immediate Actions as soon as the rule evaluates the record. Immediate actions present for workflow in salesforce are:

  • New Tasks
  • New Email Alert
  • New Field Update
  • New Outbound Message

Time-dependent actions are fired at a specific time, such as 10 days prior or after a record’s close date. When that particular time passes, workflow rule re-evaluates the record to confirm if it still meets the rule criteria. If the record still meets the criteria, the workflow rule executes those actions otherwise it will won’t.

What are the different evaluation criteria?

Evaluation Criteria decided when the workflow will invoke. It mainly invokes when records are created and or getting updated. Evaluation criteria helps to evaluate the rule when a record is :

  • Created it evaluates the rule criteria each time a record is created. If criteria are met, run the rule. Ignore all updates to existing records. 
  • Created and every time it’s edited Evaluate the rule criteria each time a record is created or updated.run the rule if all the criteria met. Rules repeatedly runs every time a record is edited until it meets the rule criteria.
  • Created, and any time it’s edited to subsequently meet criteria

Rule criteria will be evaluated each time a record is created or updated. For a new record, run the rule if all the criteria met. For an updated record, run the rule only if the record is modified from not meeting the criteria to meet the rule criteria.

Explain the difference between created and Every time it’s edited and created and any time edited to subsequently meet the criteria.

Suppose we have created the following workflow:

  • Object: Opportunity,
  • Condition : If Amount > 20,000
  • Action: Update Stage = Closed won.
  • Created and every time it’s edited

Case: The amount entered is 30,000 so workflow will be fired and Stage will be updated to Closed Won. Now, if the amount entered is 50,000 the workflow will fire again trying to update the stage to closed-won.

Created and any time it’s edited to subsequently meet criteria Let’s consider the same workflow mentioned above.

Case: Amount entered is 30,000 so workflow will be fired and Stage will be updated to Closed Won.

Now, if the amount entered is 70,000 the workflow will not run again because in the previous run the only workflow met the criteria and we know this rule runs only if the value changes from not meeting the criteria to meet the criteria.

What is recursive workflow rule and how can we avoid it?

If we enable the “Re-evaluate Workflow Rules after Field Change” checkbox in the Field Update of a workflow rule and once the field is updated another work if fired which is also having the same checkbox checked recursive workflow loop could happen.

We can avoid recursive workflow by either:

  • Using created, and any time it’s edited to subsequently meet criteria
  • Not enabling  “Re-evaluate Workflow Rules after Field Change” 

How to edit a process Builder once it is activated?

Process Builder cannot be edited once it is active. However, you can clone the existing process builder and make the changes into a new one. Once done, activate it, and the previous one will be deactivated.

What is a data loader?

Data Loader is a client application to import or export data in bulk. It can be used to perform operations like insert, update, delete, upserts. When importing data, Data Loader uses Comma-Separated values(CSV) files to read, extract or load data. And When exporting data, it outputs CSV files.

How to insert Null values using the Data loader?

Before performing any operation, first, you need to make the field blank in the CSV which you want to import as null. Then open the data loader and go to settings. Under settings, select insert null values.

Difference between update and Upsert operations?

Update operation modified the data based on the Object’s Id or External Id. While upsert operation can be used to insert or update records in one call. If the Object’s Id or External Id is not found data loader inserts the new record else update the existing record.

Can we avoid duplicate records using data loader?

There is no such default option in data loader to avoid duplicates. However, if the field has been set as a unique identifier then that particular record will fail.

Difference between Export and Export All?

Export operation is used to export all records(excluding records present in Recycle Bin) in .csv file. Export All operation is used to export all records of that object(including records which are present in Recycle bin).

What are reports in Salesforce?

A report shows the list of records based on the criteria you have set. Reports are displayed in rows and columns. Each report is saved in a folder that can be public, hidden or shared. There is an option to give read-only or read-write access.

I have a report Name Brazil Client and Contacts and I want only people from Administrators from brazil market to see it. How can it be done? 

The best way is to save the report in a folder say Brazil Country Reports and share it with users of Brazil country only. Or you can create a group, put all Brazilian users in that group and share the report folder with that group.

How many formats of reports are there in Salesforce?

There are Four formats of reports in Salesforce :

  • Tabular: These reports are the simplest reports which are used to display records in a spreadsheet fashion where a column shows the fields and each row represents a record. They cannot be used to create dashboards.
  • Summary: These reports are similar to tabular reports and it also allows user to group rows of data, subtotals and creates charts. They are also important while creating dashboards.
  • Matrix: Matrix reports allow to group and summarize data by both rows and columns. They can also be used to create dashboards.
  • Joined reports:  These reports are mainly used to create a report with multiple report types.

What are the limitations of Joined reports?

There are two main limitations of a Joined reports:

  • Joined reports do not show more than 2,000 records.
  • There is no option to extract reports in CSV or XLS format

Dashboards are graphical representations of a report. A dashboard shows data in the form of charts, gauges, tables, metrics or Visualforce pages.
